How Much Does Organic Catering Cost in Germany?
Editorial team sustainable-catering.eu · Updated 19 October 2026
Organic catering in Germany typically costs 10 to 35 % more than a comparable conventional menu. If around 30 % of the ingredients are organic, caterers usually add 10 to 15 % to the food price; for a fully organic menu, 20 to 35 %. For a buffet, that means a guide price of roughly 31 to 68 € per person for the food alone. Your final bill depends more on the service format, guest count and staffing than on the organic share itself.
Organic catering prices per person by format
The table shows typical ranges for food per person, for 50 to 149 guests, including VAT and excluding drinks. The organic columns apply the usual surcharges to the conventional range and are rounded.
| Format | Conventional | approx. 30 % organic | 100 % organic |
|---|---|---|---|
| Finger food | 18-32 € | 20-37 € | 22-43 € |
| Buffet (cold/hot) | 28-50 € | 31-58 € | 34-68 € |
| Flying buffet | 38-65 € | 42-75 € | 46-88 € |
| Plated three-course dinner | 45-85 € | 50-98 € | 54-115 € |
| Barbecue | 28-48 € | 31-55 € | 34-65 € |
| Business lunch | 14-26 € | 15-30 € | 17-35 € |
| Brunch | 22-38 € | 24-44 € | 26-51 € |
These are guide values, not fixed prices. Region, season, menu complexity and each caterer’s own calculation shift the numbers. If you are still deciding on the format, see our comparison buffet or plated dinner.
Why organic costs more
- Ingredients: Organic raw produce is usually more expensive to buy. The gap is largest for animal products such as meat, cheese and butter, and smaller for grains, pulses and seasonal vegetables.
- Certification: A German caterer advertising organic food must be certified and is inspected by an approved organic control body. Purchases, recipes and organic shares have to be documented.
- Availability: Organic produce is not always available in any quantity, so menus tend to follow the season more closely.
The surcharge applies to the food. Drinks, staff, tableware and delivery do not become more expensive because the menu is organic.
Extras that shape the total
| Item | Typical range |
|---|---|
| Drinks package | 15-30 € per person |
| Service staff | 30-45 € per hour and person |
| Staffing for a buffet | approx. 1 person per 20 guests |
| Staffing for a plated dinner | approx. 1 person per 12 guests |
| Rental tableware, reusable equipment | 3-7 € per person |
| Delivery and logistics | 50-150 € flat |
Group size matters too: with fewer than 20 guests, caterers often add around 20 % per head, with 20 to 49 guests around 5 %. From 150 guests, per-head prices around 8 % below the standard range are common.
Worked example: organic buffet for 80 guests
Using mid-range values:
- hot buffet, conventional base price 38 € per person
- 100 % organic: plus 25 % to 47.50 €
- vegetarian menu: minus 5 % to about 45.10 €
| Item | Calculation | Amount |
|---|---|---|
| Food | 80 × 45.10 € | 3,608 € |
| Drinks package | 80 × 20 € | 1,600 € |
| Service staff | 4 staff × 5 h × 40 € | 800 € |
| Rental tableware | 80 × 5 € | 400 € |
| Delivery | flat | 100 € |
| Total | 6,508 € |
That is about 81 € per guest, of which the organic surcharge accounts for roughly 700 €. Try your own figures in our catering cost calculator.
What “organic” means for a German caterer
Since 5 October 2023, the German Bio-AHV regulation (Bio-Außer-Haus-Verpflegung-Verordnung) sets the rules for organic claims in canteens, restaurants and catering:
- Anyone labelling organic ingredients or dishes, or stating an organic share, needs a valid certificate from an organic control body (§ 3 (1) and § 10 (1) Bio-AHVV).
- The organic share is calculated by the monetary value of purchased goods, not by weight (§ 9 Bio-AHVV).
- An optional logo shows the share in three tiers: bronze for 20 to 49 %, silver for 50 to 89 % and gold for 90 to 100 % (§ 8 Bio-AHVV).
- For events, only the goods purchased for that event count (§ 14 (3) Bio-AHVV).
Ask for the certificate and the organic share of your specific menu. Our guide to organic certification in catering explains how to check it.
How to save without cutting the organic share
- Go plant-forward. Organic meat is the most expensive item on most menus. In our cost model, a vegetarian menu is between 10 % cheaper and the same price as a menu with meat; a vegan one between 10 % cheaper and 5 % more expensive.
- Follow the season. Seasonal produce is easier to source in organic quality and usually cheaper. Let the caterer propose the menu rather than fixing ingredients upfront.
- Choose the format deliberately. A plated dinner needs roughly one server per 12 guests, a buffet one per 20 guests. Over a five-hour event this easily adds up to several hundred euros.
- Prioritise organic where it matters most. If 100 % organic is out of budget, focus on meat, eggs and dairy, and make sure only certified items are labelled organic.
- Plan realistic quantities. Confirm the final guest count as late as the contract allows and discuss portion sizes to avoid paying for leftovers.
VAT: 7 % on food, 19 % on drinks
Since 1 January 2026, food supplied by restaurants and caterers in Germany is taxed at the reduced VAT rate of 7 %, with or without service (Steueränderungsgesetz 2025). Drinks generally remain at 19 %. Check whether quotes are net or gross: private clients compare gross prices, VAT-registered companies usually compare net.
Comparing quotes
Request two or three quotes and compare the scope, not just the price per head: are staff, tableware, set-up, delivery and drinks included, and what is the certified organic share? Our caterer checklist lists the key questions. To find caterers with an organic focus, browse the caterer directory.
