Running a Sustainable Workplace Canteen in Germany: Operating Models, Menus, Vending Machines and KPIs
Editorial team sustainable-catering.eu · Updated 19 October 2026
A workplace canteen becomes more sustainable when five levers work together: a plant-forward menu based on the DGE quality standard, a measurable organic share, systematic measurement and reduction of food waste, reusables for tableware and takeaway, and energy-efficient kitchen equipment and vending machines. How much control a company has depends on the operating model. In-house, it decides directly. With a caterer under a lease or service contract, targets and metrics have to be written into the contract.
Operating models
| Model | Who runs it and carries the risk | Control over sustainability |
|---|---|---|
| In-house (Eigenregie) | Company with its own kitchen staff | Direct, via purchasing, recipes and staff |
| Lease (Pächtermodell) | Caterer on its own account, company provides space and often a subsidy | Via lease and subsidy terms, otherwise limited |
| Service or management contract | Caterer operates for a fee on the company’s account | Strong, via service specification and reporting |
| Delivered meals | External kitchen delivers, serving only on site | Via delivery contract and container logistics |
| Smart fridges and vending | Operator or caterer restocks | Via product range, equipment and restocking |
The more commercial risk sits with the caterer, the more precisely sustainability targets need to be agreed. Otherwise tight margins push purchasing towards the cheapest option.
Contract essentials: menu planning to the DGE workplace standard, a minimum organic share with annual evidence, food waste measurement with shared targets, reusables, requirements for new appliances and vending machines, quarterly KPI reports and clear rules on who pays for higher standards.
The menu is the biggest lever
The DGE standard for workplaces, public authorities and universities (6th edition, 2023) sets for lunch over five days, among other things:
- a vegetarian (ovo-lacto) dish every day,
- with mixed diet, meat or sausage at most twice, at least half of it lean muscle meat,
- fish once, vegetables daily with pulses at least once, wholegrain at least once.
Nudging helps without bans: place the vegetarian dish first at the counter and on the menu, use appealing names, price plant-based dishes the same or lower, and offer a salad bar with pulses and grains. The DGE also recommends expanding snacks, as office eating habits shift towards several smaller meals.
Organic, fish and food waste
Germany’s organic catering regulation lets kitchens show their organic share with a gold, silver or bronze logo, a credible signal to employees, see organic food in canteens. Fish should come from sustainable fisheries, meat preferably from higher welfare systems.
The EU green procurement criteria recommend measuring food waste separately for kitchen, serving and plates in grams per meal. Then adjust production to sales data, offer smaller portions with free refills, enable pre-ordering and redistribute surplus food. More in food waste in catering.
Vending machines: energy and product range
Vending machines run around the clock and affect both a building’s power use and what staff eat between meals.
Energy efficiency
- Energy label: refrigerated vending machines count as refrigerating appliances with a direct sales function. Since 2021 they have carried an EU energy label under Delegated Regulation (EU) 2019/2018, with minimum requirements under Ecodesign Regulation (EU) 2019/2024. Compare machines of the same type and size by class and annual consumption.
- Sleep mode: the EU green procurement criteria (2019) recommend smart controls that switch machines to a low-energy mode outside operating hours.
- Refrigerants: prefer natural refrigerants; the EU criteria award points for a global warming potential below 150.
- Measurement: for annual consumption, the EU criteria refer to test reports according to EN 50597.
- Location: a machine next to a radiator or in direct sun has to cool harder. Check whether every machine is really needed.
Product range
- water and unsweetened drinks in prominent slots,
- fruit, nuts, yoghurt or raw vegetables instead of only sweets, as the DGE suggests for snacks,
- organic items such as fruit, baked goods and dairy,
- fair trade coffee, tea, cocoa, sugar and bananas,
- hot drink machines that accept reusable cups.
Vending is often run by external operators, so write range, equipment, replacement of old machines and energy reporting into the contract.
KPIs
| KPI | Unit |
|---|---|
| Vegetarian and vegan share of main dishes sold | % |
| Organic share | % of food purchase value |
| Food waste | g per meal (kitchen, serving, plate) |
| Energy use | kWh per meal |
| Reusable share of takeaway | % of takeaway sales |
| Guest satisfaction and participation | survey, meals per employee |
Record a baseline before changes, then report at least quarterly. Start with a few measurable goals, such as a bronze organic logo within a year or a third less plate waste, involve employees through tastings or a canteen committee, and publish progress internally to build acceptance.
Costs, subsidies and tax
Many employers subsidise canteen meals. For payroll purposes, the official benefit-in-kind value for a lunch in 2026 is €4.57; if employees pay at least that amount, no taxable benefit arises. Since 1 January 2026, food is taxed at a uniform VAT rate of 7 %, drinks at 19 %.
For meetings outside the canteen, business lunch formats typically cost around €14 to €26 per person as a guide figure, depending on format, organic share and group size. Use our catering cost calculator for your own estimate, and see business lunch catering for formats and quantities.
Frequently asked questions
What is the difference between in-house and leased canteens?
In-house, the company runs the canteen with its own staff and carries costs and risk. In a lease model, a caterer runs it on its own account on company premises, often with a subsidy or rent-free space.
Which metrics should a sustainable canteen track?
Useful metrics are the share of vegetarian and vegan dishes sold, organic share of food purchases, food waste in grams per meal, energy per meal and guest satisfaction.
How do I recognise an energy-efficient vending machine?
Refrigerated vending machines have carried an EU energy label under Regulation (EU) 2019/2018 since 2021. Also look for controls that switch to sleep mode outside working hours and for natural refrigerants.
